Improvement Details - Smartcard Authorisation extended to managing templates and bulk lists

We realise the importance of security to your Business. We have now added a new layer of defence giving you the reassurance that your users will have an additional level of control.

A default setting will be switched on in the coming weeks so that smartcard authorisation will be required by Bankline users that carry out the following:

  • Create, edit or import payment templates
  • Create, edit or import bulk lists

Note: Administrators can disable this feature if you feel they have sufficient protection in place already. We recommend that the feature is left on to enhance your security position.

We recommend ordering any extra smartcards and readers now for users that have the above privileges. Of course, if they already have a smartcard and readers they will not need to re-order but just ensure they are active.

How to

When the default is turned on in the coming weeks you will see additional steps for smartcard authorisation when creating or editing templates or bulk lists. You should have received your smartcard, smartcard reader and Personal Identifier Number (PIN).

  • A challenge code will be given to you at the smartcard authorisation screen. You will need to enter this into your smartcard reader.
  • Insert your smartcard into the smartcard reader and turn it on.
  • Click Sign and enter the challenge code. Click OK.
  • Enter your Personal Identifier Number (PIN) and click OK. Enter the response code into Bankline and click GO.
  • Check the details on the confirmation page and click Continue. When your updates have been successfully made, select finish.

Note: Administrators can disable this feature if you feel they have sufficient protection in place already. We recommend that the feature is left on to enhance your security position.

How to disable/enable this feature

In the comings weeks this feature will be automatically turned on. We recommend it is left on if your users have smartcards and readers.

How to change the setting

  1. Select ‘Administrator’, ‘Customer details’
  2. You’ll see a new option for payment preferences – “Changes to templates and bulk lists require smartcard”
  3. To turn on smartcard authorisation for all user who create and edit templates and bulk lists, select ‘Yes’.
  4. To let users keep on managing templates and bulk lists without a smartcard and reader, select ‘No’.

How Administrators order a smartcard and reader for a user

Before you order a new smartcard, check if your users have privileges to create and edit templates or bulk lists. Check if they already have an active smartcard and reader. It’s very likely they already have one.

Ordering a new smartcard and reader

  1. From the Administration menu, select ‘Manage Users’.
  2. You’ll now see a list of users you have already set up. To view a user’s details, click on their user ID. This opens the Edit User page.
  3. Select a user and click on @Edit roles/smartcard’. You will see all the roles attached to the user.
  4. Does the role have a padlock next to it? If so, the user will need a smartcard and a smartcard reader to carry out some actions within this role.
  5. Select ‘Order Replacement Smartcard’ and tick the box to ‘Include a reader with this smartcard order’. Select ‘Continue’ and ‘Confirm’.
  6. Everything should arrive within five business days.

Smartcards and readers will only be sent to Administrators. Personal Identifier Numbers (PIN) will be sent to user addresses.

Improvement Details - Smartcard Authorisation extended to protect more Administrator tasks

We are continually improving Bankline to ensure you are protected. We have improved the security and control around Administrative tasks.

Bankline Administrators will need to use their smartcard and reader to authorise a wider range of administrative actions. These actions are:

  • Changes to customer or user address
  • Changes to password expiry settings
  • Changes to the profiles/privileges of individual Bankline users

Note: This change will only affect Administrators that have been issued with a smartcard in the past.

How to

Example: Administrator performs an Edit User task

  • Click on Manage Users
  • Administrator may edit user details on one or more of the following
    • user name
    • e-mail address
    • post code
    • postal address
    • contact numbers
    • payment limits
  • Click on confirm changes
  • User will see the screen:
  • If you click on ‘authenticating the action with your Smartcard’, enter the challenge code into your reader, enter the response code into the Smarcard Security screen – then select go.
  • If you click on ‘Continue’, changes will be retained but not saved. The changes will not be made live until they have been made subject to the smartcard authorisation.
  • Note: Administrators that have never been issued with a smartcard and reader will not be affected by this security improvement.

    Improvement Details - Additional Flexibility for Template limits

    We’ve improved template settings, to give you more control and flexibility.

    An option has been added so you decided whether to refer payments for dual authorisation, rejection or a warning displayed if a payment is made that goes over your specified limit.

    Should a payment go over your specified limit, one of the following actions will occur depending on the selection you have made:

    • “Send for further authorisation” - the payment requires dual authorisation
    • “Error” - payments over a certain value are rejected
    • “Warning” - warnings are displayed on payments over the specified limit.

    How to

    How you set payment limit options:

    1. Select Payments from the left hand menu and click ‘Manage Templates’.
    2. To create a new template, select ‘Create a template’
      OR
      To edit an existing template, click on a template reference.
    3. Under the section ‘Please enter Template details if above limit’ you can choose to ‘Send for further authorisation’, ‘Show error’ or ‘show warning’
    4. Choose a payment limit and save your changes.
